Data Protection and Privacy Policy

1. About this Policy
1.1 This policy explains when and why we collect personal information about our members, how we use it and how we keep it secure and your rights in relation to it.
1.2 We may collect, use and store your personal data, as described in this Data Privacy Policy and as described when we collect data from you.
1.3 We reserve the right to amend this Data Privacy Policy from time to time without prior notice. You are advised to check our website www.fleetairarmsquadron.co.uk regularly for any amendments (but amendments will not be made retrospectively).
1.4 We will always comply with the UK General Data Protection Regulation (GDPR) (Data Protection Legislation) when dealing with your personal data. Further details on the UK GDPR can be found at the website for the Information Commissioner (www.ico.gov.uk). For the purposes of the UK GDPR, we will be the “controller” of all personal data we hold about you.

4. How we protect your personal data
4.1 We will not transfer your personal data without your consent.
4.2 We have implemented generally accepted standards of technology and operational security in order to protect personal data from loss, misuse, or unauthorised alteration or destruction.
4.3 Please note however that where you are transmitting information to us over the internet this can never be guaranteed to be 100% secure. We use up-to-date industry procedures to protect your personal information. We also protect the security of your password with encryption technology.
4.5 We will notify you promptly in the event of any breach of your personal data which might expose you to serious risk.
5. Who else has access to the information you provide us?
5.1 We will never sell your personal data.
5.2 We may pass your name, phone number, aircraft type and registration data to airfield operators to facilitate prior permission requests (PPR).
5.3 No other personal data will be passed to any third party.
6. How long do we keep your information?
6.1 We will hold your personal data on our systems for as long as you are a member of the FAAS.
6.2 We securely destroy all personal data on our systems once the member withdraws membership of the FAAS.
7. Cookies?
7.1 No cookies are employed on the FAAS web site.
8. Your rights
8.1 You have rights under the GDPR:
a. to access your personal data
You have the right to confirmation as to whether or not we process your personal data and, where we do, access to the personal data, together with certain additional information. That additional information includes details of the purposes of the processing, the categories of personal data concerned and the recipients of the personal data. Providing the rights and freedoms of others are not affected, we will supply to you a copy of your personal data. The first copy will be provided free of charge, but additional copies may be subject to a reasonable fee. You can access your personal data by visiting the members area when logged into our website.
b. to be provided with information about how your personal data is processed

You have the right to have any inaccurate personal data about you rectified and, taking into account the purposes of the processing, to have any incomplete personal data about you completed.
d .to have your personal data erased in certain circumstances
In some circumstances you have the right to the erasure of your personal data without undue delay. Those circumstances include: the personal data being no longer necessary in relation to the purposes for which the data was collected or otherwise processed, you are no longer a FAAS member and wish to confirm the data has been securely deleted.
Please note a request for data erasure for a current member would require that member to forfeit membership. The data is required for the FAAS to manage its operations.
e. to object to or restrict how your personal data is processed
You have the right to object to our processing of your personal data for direct electronic communications purposes. If you make such an objection, we will cease to process your personal data for this purpose. Please note that an objection from a current member would prevent access to the members area of the website.
In some circumstances you have the right to restrict the processing of your personal data. Those circumstances are: you contest the accuracy of the personal data; processing is unlawful but you oppose erasure; we no longer need the personal data for the purposes of our processing, but you require personal data for the establishment, exercise or defence of legal claims; and you have objected to processing, pending the verification of that objection. Where processing has been restricted on this basis, we may continue to store your personal data. However, we will only otherwise process it: with your consent; for the establishment, exercise or defence of legal claims; for the protection of the rights of another natural or legal person; or for reasons of important public interest.
f. to have your personal data transferred to yourself or to another business in certain circumstances.
8.2 Finding out what information the FAAS holds about you Under the Data Protection Legislation.
You can ask to see any personal information that we hold about you. Such requests are called subject access requests. If you would like to make a subject access request, please contact the FAAS:

You will also need to provide two forms of identification, for example, driving licence, utility bill or passport and, if appropriate, any particulars about the source or location of the information you are requesting.
